1. Information for invoicing
Please note that this information applies ONLY to Germany.
You can easily decide for yourself what information you need from your guest and select it in our check-in tool.
To do this, click on Settings - Online check-in in the navigation bar and you will see an overview of all the information you can request from your guests. You can select this for the main guest, as well as separately for other guests, if applicable.
Important for invoicing are, for example:
-
First and last name of the guest
-
Address including the country
-
Tax code (if available)
2. Invoice Settings
In our invoice tool, you can make the basic settings for your invoices. To do so, click on Settings - Invoice Settings in the navigation bar.
Firstly, you can specify the currency, the tax rate and the due date and select whether a PayPal payment link should be inserted.
In the next section, you can enter the billing address. Please note that the country Germany must be selected in the drop-down menu. If you have a VAT registration number or tax number, you must select the appropriate tax type and enter your ID.
Important to know:
- If your tax type is ‘None’, please do not enter anything under ‘VAT ID or Tax Number’. Your invoices will automatically be created without VAT.
- If you want to enter a tax number, please select ‘Tax Number’ as the tax type and enter the tax number without slashes or spaces. The invoice will be created with VAT.
- If you want to enter a VAT registration number, please select ‘VAT ID’ as the tax type and enter the full number including the country (e.g. DE for Germany). The invoice will be created with VAT.
In the last section, further additions can be entered in the text field, along with the payment method and payment instructions.
You can set up a default payment method so that, for example, the bank transfer is always on the invoice. However, it is of course also possible to choose a different payment method for a specific invoice; this is determined when the invoice is created.
At the end, you can add your logo.
3. Invoicing
To create your invoice, select the "Cockpit" area in the navigation bar and click on the relevant booking in the calendar overview. A small window opens with the booking overview.
In the new window, you now have the option of entering the invoice number, the creation date and due date as well as the tax type (Value Added Tax should always be selected here).
In the next section, you can enter the address of the invoice recipient and the VAT number (if available).
In the last area, you can enter further additions in the text field and finally click on "Create" or "Create and send".
In the booking details under "Invoices" you can now see the invoice you have created and can download it by ticking the box on the left-hand side, edit or delete it.
Here you can see an example of what the new invoice could look like:
